Inn-Flow Procurement Extends AI and Automation Across the Hotel Back Office 

Inn-Flow Procurement, the result of Inn-Flow's acquisition of hotel procurement technology provider Lilo announced in early May, brings AI-assisted purchasing and supplier management into the company's unified back-office platform. The solution helps operators reduce costs, improve purchasing decisions and gain greater visibility into spend. 

Key capabilities include: 

• Vendor catalogs, live pricing and inventory availability to support more informed purchasing decisions. 

• AI cart optimization that compares pricing across vendors and recommends lower-cost alternatives. 

• Budget visibility and policy controls to help teams maintain accountability before purchases are made. 

• Connected procurement, vendor and accounting workflows designed to reduce duplicate work and improve financial visibility. 

As procurement is integrated more deeply into Inn-Flow, purchasing, vendor, inventory and accounting data can flow more seamlessly across the hotel back office. The result is a more connected experience that reduces manual work, improves accountability and gives hotel leaders better visibility into how purchasing decisions affect financial performance. 

Inn-Flow to Demo New AI-Assisted Inventory Module for Procurement 

At HITEC, Inn-Flow will preview a new AI-assisted Inventory module designed for hotel food and beverage, retail/market and supply operations. Built to work with Inn-Flow Procurement and Accounting, the module helps properties move from manual spreadsheets and disconnected inventory tools to a more automated workflow for receiving, counting, reconciliation, ordering and month-end reporting. 

The module is designed to support: 

• Real-time On-hand Visibility: Know exactly what you have across every storage location and property at any given moment. 

• Receiving & Reconciliation: Auto-pull invoices from Procurement, count stock, and reconcile variances all in one place.

• Par Levels & Reordering: Item-level pars aggregated across all locations with reorder suggestions that push directly to cart.

Inn-Flow is currently hardening the Inventory module with design-partner properties ahead of broader availability at the end of Q3.  

AI Insights Deliver Proactive Operational Intelligence 

As part of Inn-Flow's Business Intelligence solution for Accounting and Labor, AI Insights help hotel operators identify financial and operational issues before they impact performance. Unlike traditional reporting tools that primarily show what has already happened, AI Insights proactively surfaces actionable alerts based on each property's operating patterns. 

Initial AI Insights capabilities include: 

• Over Budget Alerts, which identify expense categories trending beyond budget before month-end. 

• Labor Costs at Risk, which combine actual punches and schedules to project labor spend before payroll closes.

Accounting and Labor Enhancements Reduce Manual Work and Strengthen Controls 

Inn-Flow continues to enhance its Accounting and Labor Management platforms with automation designed to improve efficiency, compliance, traceability and visibility across the hotel back office. 

Recent accounting enhancements include: 

• Daily Activity 2.0, which streamlines the review and approval of nightly audit data. 

• Reimbursements 2.0, which supports inter-company and inter-property expense allocation while improving traceability and reconciliation. 

• Recent labor management enhancements launching in Q3 include: 

• Automated FLSA overtime calculations, including weighted-average overtime for employees who work multiple positions at different pay rates. 

• State-specific overtime support for California and Colorado. 

• Pay-per-room compensation for housekeeping teams, enabling hotels to better align labor costs with occupancy levels.
